Executive Assistant to the Deputy Director for Development

The Executive Assistant is a key liaison and will work closely with all Museum departments and Board of Trustees offices.

The position will report directly to the Deputy Director for Development and will be involved in a wide range of administrative activities.

Responsibilities include:

Handling confidential and time-sensitive mail and email correspondence
Managing a very busy appointment calendar and prioritizing the Deputy Director’s time
Assisting with department budgeting and donor billing
Creating meeting agendas
Maintaining active files and lists
Processing invoices, expense reports and reimbursements
Assisting on projects as necessary and required

Requirements:

B. A.
3+ years of experience ( fundraising background preferred)
Excellent communication, writing, computer (Microsoft Office, Outlook a must, and Raiser’s Edge fundraising software preferred) and organizational skills
Ability to work effectively under pressure, prioritize, and juggle several tasks
Ability to work cordially and harmoniously with other staff
Thorough and close attention to detail
Good judgment and complete discretion
Ability to deal effectively and appropriately with high-level donors, patrons and trustees
Interest in art and museums/cultural institutions desirable
