List Coordinator

Reporting to the director of special events, the temporary list coordinator will assist with compiling invitation lists for the Museum’s historic new building opening events in spring 2015.

The list coordinator will play a key role in collating a comprehensive and accurate invitation list for all new building opening events, and help execute complex and intricate invitation mailings. The coordinator will work closely with the director of development records and the Whitney research team.

Responsibilities include:

Working with internal departments to gather invitee lists and collate master spreadsheets for all new building opening events
Researching contact information for art community personnel
Maintaining and updating the Museum’s Raiser’s Edge database
Working with development records to oversee data entry and data cleanup projects for opening events invitees
Tracking internal and external invitation requests
Circulating Raiser’s Edge reports regularly for necessary revisions
Strategizing with larger development department to execute exact and effective mailing of opening events invitations
Assisting with coordinating multipart, large-quantity, and time-sensitive invitation mailings
Requirements:

B.A., minimum 2–3 years of work experience in an arts organization, preferably with experience in database administration and/or organizing complicated large-quantity mailings
Proven knowledge of and strong familiarity with New York/national/international art community figures and art philanthropists
High proficiency in Raiser’s Edge, or comparable constituent management system and Microsoft Excel
Superior attention to detail
Excellent organizational as well as written and verbal communication skills
Ability to work proactively and independently while taking direction
